Gym lead follow-up

Gym lead follow-up, where the sale is won.

Most gyms don't have a lead problem. They have a follow-up problem. A form gets filled in at 8:40pm, somebody sees it at eleven the next morning, calls once, gets voicemail, and the lead quietly joins somewhere else. This is where most gyms lose the sale.

We build and run the system that stops it: text, email and voicemail that reach every enquiry within minutes, a sequence that keeps going for weeks, and a human handover when the conversation turns real.

No card on the call. No contract. If we're not a fit, we'll say so.

Speed to lead Minutes, not hours.

Speed to lead is the oldest finding in sales and still the most ignored. Harvard Business Review's study of online sales leads found firms that tried to contact a lead within an hour were nearly seven times more likely to qualify it than those that waited even an hour longer, and more than sixty times more likely than those that waited a day. It isn't a fitness study and the exact ratios won't transfer, but the direction holds in every gym we've worked in.

You can fix that with discipline and a person who never takes a day off, or you can automate the first hour and keep the humans for the conversations that need one. That's what this service is, and it's why gym lead response time is the first number we look at on the call.

Gym SMS follow-up Six pieces. All of them load-bearing.

None of this is clever. It's the thing almost nobody does consistently, which is why it works. Every piece is written in your gym's voice, you approve every message before it goes out, and we watch the threads every week so the wording keeps getting better rather than going stale.

Speed to lead: the first five minutes

The moment a lead arrives from any source, whether that's a Facebook form, your website, a Google Ads for gyms call, a walk-in or a referral, a text goes out in your gym's name from a local number, written the way a person would write it. Email follows, and a voicemail lands if they don't reply. It runs at 11pm on a Sunday too. And when a call to your gym goes unanswered, missed-call text-back replies by text within moments, so the caller doesn't just dial the next gym.

The sequence, not the single text

A first message never gets all the replies. The rest come later. We build a sequence that runs for weeks, with a different message, a different angle and a different time of day each time, and it stops the moment someone replies or books. Most gyms give up after a couple of attempts. The surprising sign-ups come later.

A CRM set up so it can be worked

A pipeline with stages that match how your gym actually sells: new lead, contacted, booked, showed, joined, no-show, lost. Every lead is stamped with its source, and tasks land on someone's phone. If your gym software can do the job we work inside it, and bolt on only what it can't do.

Booking, reminders and no-show recovery

A calendar with your real availability that leads book themselves into. Then a confirmation, a reminder the night before, a reminder an hour out, and a reschedule offer the moment someone doesn't turn up. In most gyms we look at, no-shows leak more members than bad leads do. It matters even more in 24 hour gyms, where nobody is on the desk at night to catch the booking.

The database nobody is working

Old enquiries, expired trials, members who left on good terms. We import the list, clean it, and run a written reactivation campaign against it, carefully, so it doesn't read as spam. It's the only part of gym marketing that can produce members with no ad spend at all.

Scripts, training and a read on the threads

Automation starts the conversation; a person still has to close it. You get the text replies, the call opener, objection answers and the intro structure written down, plus a short session with whoever works the leads. Start with our gym front desk sales script.

How it runs Usually the first thing we switch on.

Follow-up often goes live before a dollar of ad spend, because it improves every lead you're already getting. It follows the same gym marketing process as everything else we run: walk the path, build it, test it on real phones, hand it over, then read it every week.

  1. 01

    Kickoff and leak hunt

We walk your path as a stranger would: fill in your own form, time the reply, count the attempts. Most gyms find a broken step they didn't know about, like a form alert going to an old inbox.

  2. 02

    Build and write

CRM and pipeline configured, a local number registered for business texting, the calendar connected, every lead source piped in, and the whole sequence written in your voice. Your old list is cleaned in the same pass.

  3. 03

    Test with real phones

We push test leads through every source and watch messages arrive on an actual handset. Wrong-timezone sends, broken merge fields and dead links get caught here, not by your first real prospect.

  4. 04

    Go live, then handover training

The system switches on and we sit with whoever answers the leads to walk through the pipeline, the scripts and what to do when someone replies at an awkward hour. Written down, repeatable for the next hire.

  5. 05

    Weekly read, monthly numbers

Every week we read the threads and fix wording that isn't landing. Every month you see leads, contacted, booked, showed and joined, and from month three, how many stayed.

Gym lead response time Fast to install, fast to show, not magic.

Of everything we run, this shows up soonest, because it works on leads you already have. It can't invent demand, and it can't rescue an offer nobody wants. Here's the usual shape once the follow-up system is switched on.

Week one

Every enquiry answered in minutes.

Live within days. Every new enquiry gets a reply in minutes, and the reactivation campaign against your old list usually starts the first conversations before any new traffic arrives.

Weeks two to six

More booked, more showing up.

Booking rate and show rate start to move as the reminder and no-show sequences do their work. You'll notice the volume of text conversations before you notice the joins.

Month three onward

Which messages make members.

Enough history to see which sources and which messages actually produce members who stay, and to hold the funnel steady instead of watching it swing week to week.

Where it stalls: gyms where nobody picks up when the automation hands over. Software can book the intro. It can't sit across the table and ask someone to join. That part is gym membership sign-ups.

Gym marketing services It makes everything upstream worth more.

Follow-up is a multiplier, not a source. Lift your show rate and every channel above it gets cheaper per member without a single change to the ads. It's the hinge in our gym marketing services: ads bring the enquiry, follow-up turns it into a booked intro.

Gym lead follow-up FAQ Gym lead follow-up, answered.

What owners ask before they let software text their leads. More answers on the gym marketing FAQ, or bring your own question to the call.

Will the follow-up texts sound like a robot?

They're written to read like a person who works at your gym, sent from a local number, and they stop the instant someone replies. We write them in your voice and you approve every message before it goes out. If a sequence starts feeling like spam, that's a wording problem and we fix it in the weekly read.

Do I have to change my gym software?

Not necessarily. If your current platform handles pipelines, automated texting and booking properly, we work inside it. If it can't, we run the follow-up layer alongside it and keep your billing and class booking where they are.

Is automated texting even legal?

Business texting in the US and Canada is legal with consent and proper registration. We register your number for business messaging, make sure your forms capture consent clearly, honor opt-outs automatically, and keep sending inside reasonable hours. We aren't lawyers, and we'll tell you to check with yours on anything unusual.

Who actually answers when a lead replies?

Your team. The automation handles the first touch, the reminders and the chasing; a person at your gym takes the conversation once it's real. We give them the scripts and the training, and we'll tell you honestly if the person you've assigned isn't working the leads.

What about the leads already sitting in a spreadsheet?

We import and clean them, then run a reactivation campaign. Results vary hugely with how old and how warm the list is, so we won't put a number on it, but they're the cheapest members you'll ever get, because you already paid for those leads once.

Can I buy gym lead follow-up without the ads?

Yes, and for some gyms it's the right first move. If you're already getting walk-ins, referrals and website enquiries and losing them to slow follow-up, fixing that before you buy traffic is the cheaper order to do things in.
